Position Description

The Olana Partnership (TOP) seeks an enthusiastic and proactive individual to join our highly collaborative community as a full-time Accounting & Administrative Assistant. This position supports our accounting department and TOP staff in Cosy Cottage. The ideal candidate will demonstrate an ability to proactively manage various open tasks independently as well as collaboratively, have the ability to multitask and complete time-sensitive projects on schedule and be willing and eager to learn and adapt in a fluid environment.

Duties and responsibilities:

  • Sort and prepare A/R and A/P for entry
  • Accurately type data into financial software and spreadsheets
  • Follow The Olana Partnership’s data entry systems and methods
  • Merge data from different systems
  • Supply accounting staff with requested information
  • Manage and archive files
  • Keep sensitive information confidential
  • Coordinate cleaning & maintenance of and oil/propane deliveries to Cosy Cottage & Wagon House
  • Coordinate ordering & storage of office supplies, and maintenance of postage meter & printer for Cosy Cottage staff
  • Coordinate TOP work orders for NYS Parks maintenance crew, including review with designated senior staff prior to submission and tracking of progress
  • Coordinate key assignments for all TOP staff with NYS Parks
  • Coordinate IT support for Cosy Cottage and Wagon House with staff and IT consultant
  • Support TOP staff with occasional mail & package pick up, deliveries, and bank runs
  • Coordinate catering for all staff and other meetings; organize set up and clean up

Qualifications:

Our ideal candidate should possess the combination of dedication, patience, a positive attitude, and precision along with:

  • At least 2 years of experience in an Administration/Assistant position
  • Experience in working with computer software, such as Office and Excel
  • High level of communication, analytical, problem solving and organizational skills
  • Knowledge and ability to work with people from a wide range of backgrounds and cultures
  • Ability to set priorities, plan and organize own workload with minimal supervision
